Scope of Position: We are currently seeking a full time Administrative Assistant to join our Tucson, AZ office. This position will be responsible for the effective operations of the front desk. A successful candidate who demonstrates proficiency with Excel and is detail-oriented will be considered for immediate advancement. Primary Duties and Responsibilities: Greet guests, visitors and clients in a professional and friendly manner. Administer all incoming phone calls, ensuring all calls are redirected accordingly and taking messages as needed. Provide callers with information such as company address, directions to the company location, company fax .numbers and other related information. Update mailing lists and contact databases. Oversee the maintenance of all office equipment in branch facility so that is it functional at all times. Receive, sort and redirect incoming mail; process all outgoing mail. Coordinate the pick-up and delivery of express mail services (FedEx, UPS, etc.). Organize and maintain the office filing system. Maintain the reception area and the main conference room. Assist in ordering, storing and maintaining necessary levels of office supplies. Assist in event planning and maintaining the office calendar (vacations, birthdays, etc.). Update documents in Word and Excel. Perform other administrative duties assigned by the office manager, like filing and maintaining office phone directory, and support other administrative staff as needed. Position Requirements: High school diploma or equivalent GED. Ability to handle a multi-line phone system. Ability to use Microsoft Office Suite package (Word and Excel, some PowerPoint). Professional appearance & demeanor and reliable attendance & punctuality. Excellent phone etiquette. Exceptional customer service skills. Strong verbal and written communication skills.
