Job Description Handles processing and scheduling of parts/unit orders for all for the customer service department. Handles aftermarket parts quotes. Works with Krebs intercompany offices in getting unit and system orders written up and put through the system. Has a deep understanding of inventory movements and availability. Able to analyze customer data. Understands our products from a marketable and technical standpoint. Assists other customer service agents with overflow work as needed. Covers the front desk on a rotational schedule. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Reviews and prepares incoming parts, units and system orders, compares to formal quotation, works with the appropriate sales engineer to get orders written up manually and forwarded through to Engineering and Documentation Control in readiness for order entry. Advises all appropriate departments immediately when rush cyclone, pumps or valve orders are received. Enters parts, unit and system orders on JBA. Checks and compares in-coming confirming orders against typed sales orders and processes revisions as necessary. Works with Production and Engineering to obtain freight quotes for parts, units and systems for customers and representatives. Assists customers and representatives with status and delivery issues for parts, units and systems as needed. Utilizes in-house computer system to check stock, customer history and lead times to assist sales staff and representatives. Generates reports on availability for new and existing orders and schedules or reschedules orders to the best possible ship date. Utilizes the non-moving report to ensure that all possible avenues are addressed to machine to a stocked item or sells the item to an existing customer that has purchased the item before. Takes each and every customer interaction, as an opportunity to generate parts revenue. Monitors in-house sales orders' progress and provides status to engineers as needed. Handles inquiries and parts orders for all subsidiary offices. Communicates with all customers by phone, email or fax. Operates multiline telephone system to answer incoming calls and directs callers to appropriate personnel. Provide safety presentation to new visitors (when required), receive, sort and route mail, book conference rooms and Lync meetings, and perform clerical duties as needed. Ability to get along with others and to work in team environment.
