Department: Office of Academic Affairs (9902)Location: Main CampusPosition Summary The Office of Academic Affairs is seeking for applicants for the position of Office Specialist. This position provides high quality administrative support and performs a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to Academic Affairs managers, directors, and team members; assisting in daily office needs; and managing the office's general administrative activities. Duties & Responsibilities Serves as point of contact for inquiries to the Office of Academic Affairs, including phone calls and written communications (paper or electronic). Answers inquiries and composes correspondence on own initiative in accordance with established guidelines and forwards other items to the appropriate team member. Serves as liaison to faculty, staff, students, alumni, outside agencies and the public. Greets students/visitors, determines nature of business, directs them to appropriate office/person and notifies appropriate person of visitor's arrival. Independently answers inquiries and provides information or assistance to callers and visitors which requires thorough knowledge of office policies and procedures; assist customers in resolving discrepancies or procedural problems utilizing knowledge of specialized function; responds to questions ensuring necessary follow-up is performed. Operates a telephone system with specialized or atypical functions to accommodate a large number of work unit members and calls. Receives, date stamps, separates and distributes incoming mail or other materials to work unit members; determines appropriate receiver based on subject of correspondence or mail. Observes the flow of visitors for security purposes in restricted areas; questions unfamiliar visitors to determine or obtain authorization to enter area. Manages front desk/lobby and building area: opening, closing, maintaining clean area throughout the day, and contacting Facilities Management regarding building and custodial needs. Performs general office work, such as, word processing, data entry, file maintenance, filing, faxing, copying, proofing, editing, ordering supplies, and monitoring office needs. Assists with various projects at the Office of Academic Affairs. Additional duties may be assigned. Knowledge, Skills, & Abilities Knowledge of policies, practices, procedures and terminology of assigned function. Skill in the operation of a variety of office machines including, personal computers, telephones and copiers. Skill in recording and compiling material for reports. Ability to effectively communicate. Minimum Qualifications Three years of office/clerical experience which includes one year in a directly related function; OR, Certificate in Secretarial Science AND two years of secretarial/clerical experience; OR, Any equivalent combination of experience, training and/or education approved by Human Resources. Arizona Board of Regents Minimum Qualifications Three years of office/clerical experience which includes one year in a directly related function; OR, a Certificate in Secretarial Science AND two years of secretarial/clerical experience; OR, any equivalent combination of experience, training and/or education. Preferred Qualifications Experience working in education sector.
